DATEV-Brücke

Won HubSpot deals as a DATEV Buchungsstapel

The app turns closed deals into a booking batch file (Buchungsstapel) in DATEV's EXTF format. You review every row, generate the file and hand it to your tax accountant (Steuerberater).

Beta. The app reads your deals and sends nothing to DATEV. It writes to HubSpot only if you switch that on: the export status on the deal. The file follows DATEV's interface description for the EXTF format; an import test at a tax accountant's firm is still pending.

Rows that cannot be booked unambiguously are flagged and left out of the file. The app never guesses an account. Column names are DATEV's own, as your accountant sees them.

How it works

  1. Connect

Authorise your HubSpot account. The app reads deals. Two further permissions are optional and only take effect when you switch the feature on: writing to deals for the export status, and reading companies with their address for a separate debtor account per customer.
  2. Enter your accountant's details

Beraternummer, Mandantennummer, chart of accounts SKR03 or SKR04, fiscal year.
  3. Map revenue accounts

Each pipeline gets the revenue account your accountant names.
  4. Review and export

Go through the period's bookings, correct them, download the EXTF file.

Who it is for

Companies that run their sales in HubSpot and whose tax accountant books in DATEV.

Two questions first, so you do not set it up for nothing:

  • Will your accountant import a Buchungsstapel you prepare? Some firms prefer to book from the invoices themselves.
  • Do you already write your invoices in lexoffice, sevDesk or an ERP with a DATEV export? Then the revenue would arrive twice, and this app is not a fit.

What the app does not do

  • No tax advice, and no decision on how anything should be booked. You set accounts and tax keys with your accountant.
  • No transfer to DATEV. You pass the file on yourself.
  • No currency conversion: deals in other currencies are flagged, not booked.
  • No credit notes or reversals yet.

Data and security

  • Runs in Frankfurt am Main (AWS region eu-central-1).
  • HubSpot access tokens stored encrypted; database and backups encrypted.
  • No advertising or analytics cookies, no third-party fonts or scripts.
  • "Disconnect" revokes access in HubSpot and deletes all stored data.

A data processing agreement (AVV, in German) is at AVV.

Frequently asked questions

What does my accountant receive?
A CSV file in DATEV's EXTF format (Buchungsstapel), meant for import into DATEV Rechnungswesen. Belegfeld 1 carries the HubSpot deal ID. Each file comes with a reconciliation sheet (totals per account and tax key) and, with a debtor account per customer, a master-data file.
What happens if a deal changes after the export?
The exported booking stays as it was. The app flags it and shows what changed, so you can settle it with your accountant.
Do I need a DATEV subscription?
No. The app produces a file and needs no DATEV access.
Is the app in English?
Yes, the app is in English and German. DATEV's own terms, such as Beraternummer or Buchungsstapel, stay German because that is what your accountant uses.
